Crozet Workflow

Before Each Session
- Review the client's most recent evaluation, the previous 2–3 treatment sessions, dos/don'ts, and the communication sheet.
- Check the client's current training phase, determine whether they are ready to progress, and document the current phase and heart rate before beginning the session.
- Ensure you feel comfortable with every exercise you include in a client's plan. If you are not comfortable with an exercise — ask a team member to help you before the client arrives.
- Ensure the client has a heart rate watch, and verify that all watches are returned after the session once the data is recorded to the chart.
- If you are working with a student, another intern, or an intern in training, make sure you meet with them to discuss the client's plan and the division of roles during the session.
During the Session
- Greet your client as they enter the gym, introduce yourself if appropriate, and check in while they are warming up. Ask how they are feeling, inquire about any pain or concerns, and let them know how long they should warm up.
- Ensure clients are spending enough time in their prescribed heart rate zone. All coworkers should accumulate at least 50 minutes in the moderate-intensity heart rate zone each week. If someone is consistently falling short, please notify Caro or Marc so we can reassess their exercise plan.
- Refrain from using your phone during client sessions unless it is directly related to patient care (e.g., timer or clinical reference).
- Use time between sessions to review your next client or complete documentation.
- During each block, distribute clients as evenly as possible between the upstairs and downstairs frames. Reserve the upstairs frames for clients who have difficulty navigating stairs. If more than one client must be assigned to the same frame, ensure that all available frames are occupied before assigning multiple clients to a single frame.
Documentation
- Complete all documentation thoroughly (sets, reps, time, HR data, etc.).
- If an exercise or stretch was not performed, document the reason (e.g., discontinued, pain, time constraint, etc.).
- Ensure functional exercise sheets are fully completed before the end of your shift.
- If you are working with a coworker who needs time to change before or after their workout, be mindful of their schedule and allow adequate time so sessions remain on time and transitions run smoothly.
- Use client water breaks / cardio between sets to set up the next exercises and update the functional sheet.
Professionalism & Expectations (Reminders)
- Put away all equipment and disinfect any surfaces or equipment used after every session.
- Store backpacks, bags, and other personal belongings downstairs in a locker to keep walkways clear and maintain a safe, organized clinic.
- Keep all food downstairs in the refrigerator.
- Do not eat during client sessions or in front of clients.
- When discussing a client's case, make sure the client is involved at an appropriate level.

Binder / Folder Organization
All client programs are on the black shelf near the stairs.
- All coworkers have a labeled white binder (2nd shelf from top).
- Long-standing volunteers have a labeled black binder (2nd shelf from bottom).
- Clients not associated with Innisfree have a labeled gray binder (top shelf).
- Volunteers newer to Crozet (or here for a shorter time) have a labeled manila folder (top shelf).
- Intern folders are on the far right of the top shelf.
- All blank programs, evaluation copies, blank printer paper, etc. live on the very bottom shelf.

Parking
- Upon arrival, park at either the bottom of the lot (by the trees) or the top of the lot (by the garage doors). The spaces by the garage are typically taken by interns living in the apartment and Marc Skinner, but feel free to park there if room allows.
- Be considerate of spacing when you park!
- Leave the center of the lot for clients and other visitors (especially during the 4:30 block).
Program Writing
- Read the Dos/Don’ts document if it is your first time with a coworker/volunteer.
- If there is a note on the schedule to take anthropometrics (bodyweight, blood pressure, etc.), do so with the coworker before starting their workout.
Connecteam
- Clock in under “Crozet Medical Fitness Professional” in the Connecteam app as soon as you start working and right before you leave. Being meticulous makes it much easier on Marc by reducing the number of shift requests he reviews before approving payroll hours.
- Clock out on your lunch break! If you are plan-writing during your lunch block, it’s okay to stay clocked in — but only if you are doing truly productive work. Use your integrity.
- Some interns write plans directly after their morning blocks finish, or within the 15–30 minutes before the afternoon blocks start — this makes tracking hours simpler.
Coworker Pick-Up / Drop-Off
- The interns responsible for picking up or dropping off coworkers for each block are listed at the top of the schedule table each day. These are not always set in stone, so be flexible and willing to help!
- If the weather is nice, take the golf cart. Turn the key to the “ON” position (it stays in the cart); use the shifter to drive forward (F) or reverse (R); when parked and off, shift into neutral and apply pressure to the top-left of the brake pedal to engage the parking brake.
- If the weather is not nice (e.g., raining), take Homer (the van) for pickups.
- Coworkers may be traveling from workstations to the pickup spot (e.g., CC, office). If they are not all there when you arrive, wait a few minutes until they finish and walk over. (The only exception is Tuesdays — no workstations.)

General reminders for interns in training
- If you're scheduled for the clinic's opening or closing, make sure you learn the opening/closing to-do's.
- Come in at least 15–30 minutes early to review your client's chart.
- This gives you a full understanding of how to treat them, and time to ask tenured interns questions if you're unsure.
- Think of exercises you'd include and pitch them to the intern you're working with!
- Be ready to greet your client.
- Don't wait for them to come back into the gym. If you're unsure, ask their name; if they're not your client, let the intern working with them know they've arrived.
- Stay on topic with your clients.
- It's great to chat and build the trainer–client connection, but don't let it get in the way of giving them a good session.
- It's your job to stay on time and on track. When time is limited, choose the program items that are most impactful for the client's presentation.
- If you're shadowing or transitioning to leading, don't talk only to the intern as if the client isn't there.
- Remember that your clients are paying to be here, and they deserve your 100% full attention during the session.
- The words you use matter for the healing process!
- If you don't know, ASK!
- It's far more important to ask than to go through a program with the wrong form.
- Fully fill out your client's session follow-up sheet — don't leave anything blank. If you ran out of time, note that; leave a note at the bottom if something changes. Bigger changes or progress-note updates should be included in the front communication notes.
- Clean up after you're done with your clients (equipment, folders). Exception: if you're slammed with back-to-back clients and need help from others, it's okay to ask!
- There's no check-out process, so you can leave once you finish with your last client and your closing duties and charts are complete.
- Review the policies related to scheduling so you know the process for:
- requesting time off
- who to contact in the case of scheduling concerns
- Communication within the internship:
- Check Slack regularly.
- Check the Communication Board once a week, at the beginning of the week.
